When we operate

Our all-inclusive multi-day retreats are in operation throughout the year, however we are most focused on the April to October part of the year, when the weather allows us to offer you more Kalymnos Experiences. With limited availability for only a small number of lucky participants per retreat, in order to retain the high quality of our services, the Kalymnos Experience is a very special, unique getaway. The only in the whole world where you can experience, more than 15 different activities, in just one multi-retreat! And it’s all happening in the climbing Mecca of the Aegean, Kalymnos Island.

In the event of a retreat with 4 or less participants, we reserve the right to postpone it entirely and/or we reserve the right to eliminate some of the scheduled activities. You will however be offered three (3) options: Either a change in the daily activity schedule, or a full re-imbursement, or rescheduling your booking to a future Kalymnos Experience.

We welcome group & corporate bookings, allowing you to create your own itinerary to suit your needs. We have developed special team – building activities, designed by specialists & professional experienced managers. An excellent way to boost your business, building up skills that will transform your working environment into a different experience. After all, nothing is the same once you have lived the Kalymnos Experience!

Alternatively, it can just be 10 days away with your friends, a birthday celebration, a wedding blessing or the bachelor’s party before that. A place where friends and family can enjoy some quality time together surrounded by extreme nature and most of all, having fun!

For private group bookings the relevant prices and daily schedule will be discussed accordingly, in order to offer you the greatest experience, tailored to your needs.

Retreat confirmation

Acceptance to the retreat is subject to the following:

  • Receipt of deposit / payment
  • Confirmation from Kalymnos Experience
  • Completed health & indemnity form

Admission is by the sole discretion of Kalymnos Experience and we reserve the right to refuse admission on any grounds, in which case all monies paid, will be refunded.

Payments

All prices and payments are in Euros. Payments can be made online.

  • The payment is taken in full via PAYPAL / CREDIT CARD
  • Via electronic fund transfers (EFT) to our Greek bank account
  • The payment can be made in full
  • A 50% deposit is required to secure your reservation, with e-mailed bank confirmation within 48hours
  • Balance payable just before, or upon arrival, upon agreement
  • Bookings made less than 4 weeks prior to retreat, require a 75% deposit
  • Bookings will be closed 10 days prior to the starting date of the retreat

All bank charges are on top of payment and are the responsibility of the participant to prevent a shortfall in the payment we receive. Should the deposit / balance payment not be received within the time frame specified, Kalymnos Experience reserves the right to cancel your booking(s) and to charge the applicable cancellation charges set out below.

Cancellation

  • Up to 56 days (8 weeks) before departure, full re-imbursement
  • 55 – 30 (8-4 weeks) days before departure 80% of deposit
  • 29 days (4 weeks) or less before departure or for non-arrivals, loss of deposit

Please note that all cancellations are only effective once confirmed via email by Kalymnos Experience. In the case of extenuating or unforeseen circumstances necessitating withdrawal, either medical or death to immediate family or self, you may defer to the next available retreat upon application and paid fees will be transferred to that retreat accordingly. If not, should we be able to re-sell your booking, you will be refunded in full. If you choose not to travel at all, 100% to deposit price will apply. Please note that all refunds are subject to commission and/or bank charges.

Health and indemnity

In your booking confirmation email, you will be sent an online Health and indemnity form to complete. The health and indemnity information will enable your instructors to offer you the safest and most appropriate activities for your current level of health and fitness. Attendance is subject to the completion of this form, so please make sure you complete it truthfully.

Insurance

Please ensure that you have full travel insurance to cover the activities of this holiday. You need to have your own travel insurance and provide us with those details. In any other case, you will be fully liable. We do not accept liability for loss or damage to your personal property or any medical condition, which may develop during or after your holiday. Your holiday insurance should cover these and any other contingencies. Whilst all measures are taken to ensure a high standard of health and safety, our retreats are situated on an island and we shall not be responsible for any injuries caused by nature or the environment.

Programme changes

We will try and ensure that the program set for the year will remain as such, however if for any reason an instructor becomes unavailable, we shall replace them with an equally suitable one. Wherever possible, you will be advised in advance of any alterations to the schedule once booked. Kalymnos Experience however, reserve the right in any circumstances to cancel a retreat, in which case we will offer a full refund of all monies paid.

Exclusions

Without limitation, Kalymnos Experience, is not responsible or liable for bodily injury, death, delays, changes or losses caused by, but not limited to acts of God, war, threat of war, closure of airports or ports, civil strike, natural disasters, accidents or any other events beyond or within our control; guests’ injuries, illnesses, medical or psychiatric conditions developed during or subsequent to the holiday; loss of/or damage to personal property of guests.
